What is the process to release commissions?
Commissions should only be released after customer payment has been received.
Click on the release commissions links in the "Accounting Module?. From there you will have a list of the loads that you have received payment for. The loads are broken down for you to verify that the sales person is getting the correct rate, and the company is making the correct profit. If you come across a commission that needs modifying you can click the "Comm? amount for the load and make necessary changes. In the "Profit? column you can see the profit your company made on that load. Select individual loads for commission release or you can click on the "(Select All)? link at the bottom of the list, thus highlighting all loads. If you want to exclude a small number of loads from being released you can uncheck the boxes before selecting the "Release Selected? button at the top of the list.
The "Search Criteria? options at the top of the list is there incase you need to filter the list. Always be cautious when using these options. You do not want to release commissions on loads that you have not received payment for yet.
There is a Legend beneath the list further explaining helpful information about the individual loads. The symbols and colors present in the "Profit? amount for a load, is just to ensure if you print the list on a black and white printer, you can differentiate the details for that load.
How do I pay Commissions?
Once you have released the commissions for the selected loads, you will have to sync with your accounting software before you can pay the commissions. Go to you Vendors menu and select "Pay Bills?. If you are using QuickBooks, you will be shown a list of payables due. Select the ones you wish to pay and proceed to print the checks.
What if the margin changed after a commission has already been released and paid?
There might be times where a profit margin has changed on a load after a commission has already been released. When this happens you can audit a sales person commission to reflect the new margin and their percentage. If your margin is lowered due to a price modification, the Sale Rep will be charged his percentage of loss.
In your "Accounting Module? select the "Audit Modified Commissions? link. Here you will be shown a similar list as in your "Release Commissions? page. Just as in your "Release Commissions? page you have "Search Criteria? options at top, a list of modified loads, and a legend below.
Once you have reviewed and approved the modifications, select the box to the right of the load, and click the "Approve Selected? (or "Decline Selected?) button above the list. Upon your next Sync, your accounting software will be notified to withhold (or add) the appropriate amount from the sales persons next check (if the commission was lowered), or release another payment to the rep (if the commission increased). It is important to note that sales reps will not see the adjusted commission amount on their reports until it has been approved.
How can I view all unpaid commissions?
You can view unpaid commissions by clicking the "Approved Commission Repot? link. This list will show you all Released/Approved commissions that have yet to be paid. Once a commission has been paid, the load will drop off that list.
